
Office Assistant

Summary:
Responsible for the efficient management of the school’s administrative operations. Assist the Director, faculty, staff, students, and the public. This consists of handling and processing confidential and sensitive information, processing student and faculty applications and enrollments, answering and screening phone calls and emails receiving and responding to inquiries and requests, coordinating meeting schedules, monitoring time and attendance, assisting with payroll activities as needed, compiling reports, coordinating and assisting with school events, manage and diffuse and stressful situations as they arise, managing facility and building access. Reports to the School Director.
Minimum requirements & Preferences:
- High School Diploma or GED
- 2 years of work-related clerical experience in a challenging environment is required.
- Associate degree or equivalent preferred in Business Administration or related field, i.e., Healthcare
- A criminal background check is required for hire.
- CPR and First Aid certifications are preferred, the school can provide them in the first year.
Knowledge, Skills, and Abilities
- Confidentiality is necessary. Maintain HIPPA and FERPA laws.
- Possess excellent written and oral communication skills.
- Excellent interpersonal, organizational, and customer service skills.
- Ability to prioritize tasks, work independently and with a team.
- Computer proficiency including Microsoft Office Suite, and virtual platforms such as Zoom, etc.
Essential Duties
- Performs office support activities for the academic programs, CPR, Nurse Aide Training Program
- Answering phones, schedules appointments, screening answering machine for messages each day, fielding telephone calls, receiving and directing visitors, and students.
- Operating knowledge of typical office equipment, such as computers, fax, telephone, copier.
- Daily check, and reply to online student inquiries/applications, schedule new student interviews.
- Receive walk-in student applications, screen students, provide enrollment information.
- Perform student SLED background report, file results in students’ file.
- Receive / file student’s health Information, academic reports, attendance and other records.
- Protect confidential files and back up data files daily.
- Submit contracted staff’s weekly hours worked invoices to the Director for approval and payment.
- Assists with various booking functions, collections, receipting fees and payments
- Monitoring and ordering school office equipment and curriculum supplies.

Vision: Ability to read small print and view a computer screen for prolonged periods.
Hearing: Ability to tolerate exposure to noisy conditions.
Speech: Ability to be understood in face-to-face communications, to speak with a level of proficiency and volume to be understood over a telephone or computer.
Upper Body Mobility: Ability to use hands to grasp, and manipulate small objects; manipulate fingers, twist and bend at wrist and elbow; extend arms to reach outward and upward; use hands and arms to lift objects; turn, raise, and lower head.
Strength: Ability to lift, push, pull and/or carry objects which weigh as much as five or more pounds on a frequent basis.
Environmental Requirements: Ability to encounter constant work interruptions; work cooperatively with others; work independently; work indoors.
Mental Requirements: Ability to read, write, understand, interpret the English language and apply information at a moderately complex level essential for successful job performance; math skills at a high school proficiency level; judgement and the ability to process information quickly; learn quickly and follow verbal procedures and standards; give verbal instruction; rank tasks in order of importance; copy, compare, compile and coordinate information and records. Understand how to manage stress.
